Filtering spam with Outlook for Windows

Updating to the latest Outlook Service Pack

The latest Outlook fixes are always available from the Office Update website. Check for Product Updates before proceeding since older versions of MS Outlook sometimes have problems with filter actions. Scan For and Apply all updates and Service Packs that are available.

Note: Your MS Office CD may be required to install required updates.

Creating your spam filter within Outlook

You can create the filter yourself by following these steps:

  1. Go to the Start Menu and select Outlook.


  2. Click the Next button.


  3. If you have settings to import from Outlook Express or another email program select them here. Skip to Step 4 if you don't have settings to import from another email program.


  4. If you have messages and address book entries you'd like to move from the old email program you may be prompted to save these into MS Outlook. If you would like to do so, answer Yes.


  5. Click the Tools menu and click the Rules Wizard choice to begin configuration of your spam filter (Outlook 2002 users: click on the "Start from a blank rule" radio button).


  6. Click New to begin a new Filter Rule.


  7. Click Check messages as they arrive and click Next.


  8. Check the with specific words in the message header choice and then click the specific words link in the Rule description window. Then click Next to proceed.


  9. Type X-Barracuda-Spam-Flag: . Click OK to proceed.


  10. Click Next to proceed.


  11. Check move it to the specified folder and then click the word specified in the Rule description window.


  12. Highlight "Personal Folders", then click the New button to create a folder to store your spam.


  13. Type Spam in the Name field and click OK (Outlook 2002 users: The "Folder contains" field should say "Mail and Post Items").


  14. Click on the Spam mailbox and then click OK to proceed.


  15. Ensure that your X-Barracuda-Spam-Flag rule is enabled with a check and then click OK to confirm your addition and exit the Rules Wizard.


  16. Click Finish to complete the definition of your Spam Filter, or in Outlook lingo "Rule".



Be certain to check your Spam folder occasionally and before deleting messages.
